Motability Application - Stage One

After Your Online Submission. (Completed by your Inchcape Volkswagen Motability retailer on your behalf, who will then send your information electronically to Motability).

Your Inchcape Volkswagen Motability retailer will complete Stages 1-5 on your behalf and on commencement of Stage 1, an Agreement Reference Number (ARN) will be automatically generated and displayed on screen. This ARN is unique to each applicant and will allow your Inchcape Volkswagen Motability retailer to keep track of the progress of your application.

The status at this time will show Eligibility. This means your application has been accepted after passing basic validation, however a number of further checks are now being performed to ensure that you and any nominated drivers are eligible (DVLA, R&SAM and DLA checks), and these checks can take up to 3 working days.

If you have applied for an Open Insurance Policy (applicable if you reside in a care home), a covering letter will need to be sent by your Inchcape Volkswagen Motability retailer to Royal and Sun Alliance Motability for eligibility checks to be carried out.

If any of these checks show as “Fail” your Inchcape Volkswagen Motability retailer will contact the Agreement Team on 0870 111 8885 (Option 1) for advise. They will keep you informed of the progress.

Should the Application require a CP50, at this point your Inchcape Volkswagen Motability retailer will be able to download and print from the customer’s Documents downloads section. They will add the anticipated delivery date, stamp all copies on the reverse with their retailer stamp and you will be asked to add your signature and take it to a local Job Centre Plus or send it to the DWP office for processing.

The DWP will enter a safe date and you MUST NOT take delivery of your new car before this date.

Once the DWP have stamped your form, you should return the top copy only to your Inchcape Volkswagen Motability retailer. If the CP50 refers to a War Pensioned application, this must be sent to Norcross House, Blackpool for processing, and when you receive it back, pass it on to your Inchcape Volkswagen Motability retailer.

A Dealer Alert will be shown on screen whilst your eligibility stage is processed.

When your application shows Pending, it has passed all eligibility checks. At this stage your Inchcape Volkswagen Motability retailer can order your car.

A Welcome Pack will be sent to your Inchcape Volkswagen Motability retailer in time for when you collect your car. This pack consists of a folder containing a Welcome Letter, Scheme Handbook, Terms and Conditions Booklet and tax disc holder with quick reference numbers.

This will also trigger an acceptance letter to be sent to you with the vehicle details and pre-contract information.

The acceptance letter will also contain a Personal Identification Number (PIN) that will be used as your “e-signature” for the agreement. It will be necessary for you to give your pin number to your Inchcape Volkswagen Motability retailer at the time of delivery and they will enter this on to the system in order to release your car.

Your Inchcape Volkswagen Motability retailer can amend the following details any time during the Pending stage up to Insurance stage (confirming vehicle details)

  • Your details (address, telephone, mobile, email address)
  • Appointee details
  • Driver Details

The Adaptations and Vehicle Type Number (VTN) (model of car) can be amended right up until handover day.

Please note: Price Guarantee will start again from whenever you change the model description of the car.

Should a driver or appointee details be amended, your Inchcape Volkswagen Motability retailer should return the application back to Eligibility status for further checks.

Stage Two
